How to open a phone call

When answering a phone call in Mandarin, “喂” is common, and adding “你好” sounds more polite. “喂,你好” fits most openings.

If you are looking for someone, say “请问,王老师在吗?” or “我想找……”. Do not start with a long sentence.

Repair when you cannot hear

On the phone, the common problem is often sound, not grammar. Say “我听不清,请再说一遍”.

If you need the other person to wait, say “请稍等一下”. It is polite and works with customer service, front desks, and normal calls.

A complete phone dialogue

Receiver: 喂,你好,请问哪位? You: 你好,我是 Alex. 请问王老师在吗? Receiver: 他现在不在,您可以晚一点再打吗? You: 可以. 麻烦告诉他我打过电话,谢谢. Receiver: 好的.

A call has no facial expression or pointing, so identity, the person requested, and the next step need to be explicit. Replace 王老师 with a contact, then rehearse three outcomes: unavailable, poor connection, and a requested callback.

Confirm identity before the reason for calling

With a familiar caller, 喂,你好 is enough. For work or an unknown number, 请问哪位? asks who is calling. When you call out, introducing yourself with 我是 reduces confusion. 请问……在吗? is a complete way to ask for someone.

打给你 and 给你打电话 both mean call you. 回电话 or 回拨 means call back. Do not shorten call you to 我打你, because without 电话 the sentence means hitting the person.

Make repair phrases automatic

Have a partner speak too quickly or pause on purpose. Use 我没听清,请再说一遍, 这里信号不太好, or 请稍等一下 to repair the call instead of pretending to understand.

Practice closing with 好的,那先这样 or 谢谢,再见. If an action follows, repeat it once before hanging up: 我晚一点再打给你 or 我把地址发给你. Repeating the next step prevents common phone-call omissions.

Leave a voice message and handle a service call

When no one answers, a useful message includes your name, the person requested, the reason, and a callback request: 你好,我是 Alex,我找王老师. 想确认明天的时间,方便时请给我回电话,谢谢. Do not bury several unrelated questions in one message. A short structured message is easier to act on.

In a customer-service role-play, read an order number, date, or phone number in small groups and ask the listener to repeat it. Correct an error precisely: 最后四位不是 3568,是 3586. Confirming numbers is a separate phone skill; 请再说一遍 alone does not guarantee that both sides recorded the same information.

A concrete completion check

Sit back-to-back with a partner for three calls: the requested person is available, unavailable, and interrupted by a poor connection. State your identity and reason every time, use at least one repair phrase, and repeat the next action before ending. Then leave a twenty-second voice message containing your name, the person requested, the reason, and a callback request. Have the listener write down every detail and compare notes. The completion standard is not perfect grammar; it is whether someone without visual cues can take the correct next step. Before ending, confirm that the listener noted the key information.
